It’s the quiet time leaks - manual steps that no one questions, information scattered across tools, unclear ownership that chip away at momentum. In professional services, where context-switching and client demands are constant, those small inefficiencies add up fast.
A few places worth a second look:
Repeating the same steps in different tools (or re-entering the same info)
Hunting for the latest version of a doc or update
Manually tracking time or reconciling billable hours
Client details living in multiple spreadsheets
What helps is not a complete overhaul, but one thoughtful improvement at a time. When systems talk to each other and ownership is clear, teams move with less friction and the wins compound quietly.
A simple exercise for this week (15 minutes):
Choose one recurring task your team touches often - status updates, client onboarding, reporting, or time capture.
Ask:
What’s the trigger? When does this task start?
What’s repeated every time? (copy-paste, checklists, reminders)
Where does it get stuck? (waiting for info, unclear owner, chasing approvals)
Make one change:
Turn the repeatable steps into a template
Add a single automation (e.g., create a task when a deal moves stage)
Set a clear owner and due date by default
Centralize the “source of truth” link right inside the task
The goal isn’t perfection - just removing one small friction point that gives your team time back every day.
