In my last newsletter, I talked about how to make the most of your project management tool and mentioned I’d share the art of delegation. But before diving into delegation, let's break it down to make it easier.
Delegation is key to growing your business, but it can feel overwhelming at first. I remember working with two co-owners of a subscription box service for adventurers. One of the owners was passionate about writing adventure stories and managing everything related to the product. While his passion fuelled the business, it also became the main cause of delays.
I set up their workflow in ClickUp, and we could see exactly where tasks were getting stuck. The goal was to get the subscription boxes ready four months before they were due, but we only managed two months. The problem? The owner himself. He was doing too much—writing adventures, reviewing drafts at multiple stages, and running the whole business.
We had a chat, and I helped him realize that delegating wasn’t about giving up control but sharing the workload. At first, he resisted, worried that no one could write in his style. So, we found writers to try drafts, hired the best fit and in just four months, we had the boxes ready six months ahead of schedule! That’s the power of delegation.

Start by evaluating your tasks. Should they be:
Delegated? (Hand it off.)
Eliminated? (Cut it out.)
Automated? (Let tools do it.)
Done by you? (Because only you can do it.)
Document Everything
Don’t skip this! Write down:
The steps for key tasks.
Tools and resources used.
Tips to help others.
Find Your Time-Sucks
Track your time for a week.
Which tasks are taking up the most time?
These are the ones to assess.
Categorize Tasks
As you go through the template, rank tasks by importance and urgency. Prioritize what matters.
Build Your Delegation Network
Decide who can help:
Team members
Freelancers or virtual assistants
Automation tools for repetitive tasks
Start Small
Begin by delegating low-risk tasks. As you gain confidence, pass on bigger responsibilities.
Set Clear Expectations
Make sure you provide:
Detailed instructions
Clear deadlines
Expected outcomes
Trust the Process
Don’t micromanage.
Let your team take ownership.
Provide Context
Help your team understand the bigger picture and why their tasks matter.
Create Check-in Systems
Regular check-ins will keep things on track without you hovering.
Embrace Technology
Use tools like Zapier, Make, or automation features in your project management software to handle repetitive tasks.
Always Be Learning
Each task you delegate is a chance to improve. Learn from the process and refine it as you go.
